The Phrase Library is used to store commonly used phrases that describe characteristics of one or more products. Using the Phrase Library is the fastest and easiest way to add common information to a product record or ANSI Document. A phrase library record may be associated with any product record. When a phrase library record is modified, all product records or ANSI Documents using that phrase will also be updated.
Click Admin, Other, and Phrase Library:

The Phrase Library will appear:

1. Click on individual phrases to view the phrase test in the Phrase Text Window.
2. Click Used By to see in which products the highlighted phrase is used.
3. Select Category drop-down list menu to select a specific Phrase Library which will cause only phrases in that category to be listed.

4. Use Text Contains field to search all phrases for a specific string of text.
5. Click New to create a new phrase.
6. Click Delete to delete the selected phrase.
7. Click All to list all phrases.
8. Click Search to search the Phrase Library for a specific phrase (which will open a query).

9. Click Edit to modify an existing phrase.
10. Click Close to close the Phrase Library.
Adding a New Phrase to the Phrase Library
New phrases can be added to the Phrase Library by clicking on New in the lower left corner of the Phrase Library Output form.

1.Select the Category that describes the phrase most accurately (or it can be left blank). Select "New".
2.Fill in the Heading and Title fields so that the new phrase is accurately summarized. The Heading field acts as a subcategory to the Category field and provides additional information as to the subject of the phrase. The Title field gives a brief description as to what the phrase will describe.
3.Enter today’s date in the Date Started field. If the phrase is to become inactive on a set date, enter that date into the Date Ended field.
4.Select the language in which the new phrase will be written from drop down box (English, French, German or Spanish).
5.Click Phrase Text tab. Enter the new phrase into the Phrase Text field.
6.Click Save to finish adding the new phrase to the Phrase Library.

If desired, create a new category by clicking NEW (next to Category drop down) and typing in the name of the new category. |
Editing an Existing Phrase
Existing phrases can be modified by clicking Edit along the bottom of the Phrase Library Output form. The process for editing an existing phrase is the same as creating a new phrase. Follow the instructions for "Adding a New Phrase to the Phrase Library" and modify the existing information as necessary.
Adding Existing Phrases to the Product Record
1.From the Phrase Library Output form, select the phrase to be added. (The Product Record must be at least partially visible behind the Phrase Library).
2.Press and while holding the left mouse button, move the mouse cursor over the Product Record.
3.Release the left mouse key.
The phrase will now appear in the Product Record utilizing drag and drop procedure.
